Concur will white-label mileage management software provider
Motus' mileage reimbursement tool as Concur Expense Smart Drive and integrate
it into Concur Mobile. The tool uses the person's phone GPS and approved
mileage rates from around the world, including the IRS, to calculate mileage
reimbursement as a traveler drives. It then creates a line item in Concur
Expense.
To let the person's phone know when to track mileage, employees
input specific times and dates, such as Monday through Friday between 10 a.m. and
4 p.m. "Smart sensors" know when a traveler is in a vehicle. If a
business trip falls outside the specified period, the user also proactively can
tell the tool to track a trip, explained Concur VP of global product experience
Robb Nielsen. The app also lets traveler delete legs of a trip that are not business
related.
GPS typically drains a phone's battery, but Nielsen said
Concur incorporated Apple and Android's best practices for battery optimization
so the tool is "on and aware just enough to know when you started to drive
or stopped driving but uses no more battery life than that."
According
to Motus, companies that switch from self-reported mileage reimbursement to
automated GPS mileage tracking save an average of 20 percent mileage costs.
