HRS clients now can use HRS’s Paperless Virtual Payment solution
to book U.S. hotels on HRS’ portal. The solution, powered by AirPlus’ A.I.D.A.
virtual card solution, already was available in Europe. AirPlus launched A.I.DA.
in the U.S. in October.
After a traveler books a hotel on the HRS portal, HRS faxes the
virtual card confirmation to the hotel and emails a copy to the traveler. The
hotel charges the virtual card according to company policy, whether it includes
just room and tax or also a buffer for incidentals. Should the client choose, the
transaction data also can be fed to any of AirPlus’ expense provider partners and
appear as an expense line item, even though A.I.D.A. virtual card payments are
centrally paid and not reimbursed.
After the trip, HRS collects all the booking, payment and
invoice data and itemizes each hotel folio expense, for example taxes, food or
Wi-Fi. HRS provides the data back to the company as a feed into their
enterprise resource planning system through an application programming
interface or as a file, said HRS vice president of the Americas Suzanne Neufang.
HRS is working on a similar virtual card partnership with
American Express and Citi, which it expects to go live by mid-2018.
